SharePoint Forms Designer Options

Before converting to SharePoint Forms Designer, make sure to have the following options set correctly.

Conversion options

SharePoint Forms Designer conversion options

  • Include Table Structure – Many Notes forms contain one or more (nested) tables. With this option selected (default), this table structure is converted to the SharePoint Forms Designer form one-to-one. This applies to both normal tables and tabbed tables (tab controls). This will save the SharePoint designer a lot of manual work.
  • Use Column Span property – This option is enabled by default and applies to tables that are converted to Forms Designer
  • Skip Computed For Display fields – Notes Form fields that are Computed for Display will not be converted. This option is enabled by default.
  • Make all fields editable – This will make fields that are computed in Notes, editable in SharePoint Forms Designer.
  • Convert Fields and Form Text only – With this option enabled (default), Notes items like buttons and hyperlinks are not converted.

Here you can choose the field display in SharePoint Forms Designer. Horizontal orientation, Vertical orientation or Collapsed (field name not visible). After the conversion you can of course adjust the display for each field manually.

Import into SharePoint Forms Designer

Open the SharePoint Forms Designer application to import the XFDS file you have created with the conversion tool.

Click the ‘Import’ link from the Icon bar and select the XFDS file. Then click ‘Open’

How the form will display in SharePoint Forms Designer depends on the options set in the conversion tool and the fields included in the Transfer Job. Here are some examples:

Example 1

  • Field display option: Orientation Vertical.
  • Fields mapped via a Transfer Job file – note that the Notes fields ‘FirstName’ and ‘LastName’ are mapped to the SharePoint field names ‘First Name’ and ‘Last Name’

Errors

Sometimes the import of an XFDS file generates an error. In many cases, it is a minor error caused by a non-essential character in the xml file that was not correctly decoded to the XFDS file. In that case, the error message points to the line and character number that is incorrect. By removing or replacing the character from the XFDS file, the issue may be solved.
